Stabilize the active lot
Pause when the auctioneer cannot be heard reliably by the bidders who need that audio path.
Use this field runbook for an auction sound system failure when the auctioneer microphone, wireless receiver, mixer channel, room PA or simulcast audio path becomes unreliable during active bidding.
The immediate goal is intelligible auctioneer audio, not a perfect repair. Hold the active lot when audibility is uncertain, identify which part of the signal path failed, move to one tested backup route and reopen only after both the room and any live remote feed have been checked.
A live auction can keep moving visually while part of the audience has lost the auctioneer. A failed wireless transmitter may affect both the room and the stream; a failed powered speaker may affect only one zone; a wrong USB source or blocked browser microphone permission may leave the room clear while remote bidders hear silence.
Do not respond by restarting every audio device. Call a brief, controlled hold when bidders cannot reliably hear the active lot, then trace the signal in order: microphone or receiver, mixer input, room output, loudspeakers and the separate feed used by the simulcast platform.
The fastest safe recovery normally uses a known-good spare path. Once intelligible audio is restored, verify it from the places that matter: a difficult bidder position in the room and, for a simulcast sale, an independent bidder-side stream.

Use short role-based actions before deeper troubleshooting begins.
Stop calling for another bid if the room or remote participants may not have heard the last amount clearly. Repeat the restart state only after audio is verified.
Keep the active lot, current ask, last accepted bid and bidder source visible. Note the approximate time audio became unreliable.
Confirm receiver or mixer-input activity, then the mixer channel, then room and stream destinations. Change one layer at a time.
Use an independent bidder-side device. Do not rely only on a local meter or the operator’s own monitor.
Start from who can still hear the auctioneer, then isolate the shortest part of the path that explains the failure.

Use substitution before deep fault-finding. A known-good wired microphone can immediately tell the team whether the room and stream paths still work. If the spare microphone also fails, move one step downstream rather than cycling through more microphones.
Keep the working path fixed once it is found. If a wired backup restores clear speech, finish the lot or approved sale segment on that path instead of switching back and forth while staff experiment with the failed wireless system.
For simulcast auctions, remember that the room and online feed may split after the mixer. The remote feed needs its own verification even when loudspeakers sound normal.
Move the auctioneer to the known-good wired or wireless backup without altering unrelated mixer or speaker settings.
Confirm the intended input is active, not muted and reaching the expected output buses at normal speech level.
Verify amplifier or powered-speaker status, the correct zone and one representative listening position.
Verify the selected stream source and listen from outside the production path rather than trusting a meter alone.
Meters prove activity at one point; bidders need intelligible speech at the end of the path.
Look for a reliable signal when the auctioneer speaks at normal level. A meter that stays flat points upstream.
Confirm the correct input is routed to the room and, where required, to the separate simulcast send.
Check output level, mute state, local power and the affected zone without changing working zones.
Confirm the chosen audio device, then listen as a bidder from an independent device outside the production audio path.
The decision is about audibility and sale control, not whether every preferred piece of equipment is working.

A clear hold and restart state matters more than explaining the technical fault to bidders.
Use a short internal phrase so the auctioneer and clerk stop at the same state without a long diagnosis over a failing system.
If a working voice path is available, tell bidders the lot is held and repeat the lot and ask only after recovery.
Use the platform message or approved channel when online bidders may have lost the auctioneer feed.
Do not restart with only “sound is back.” State the lot and current bidding state before accepting a new bid.
Use two independent listening positions when the sale has both room and remote bidders. One person should stand where coverage is difficult in the room; another should listen from a bidder-side device outside the production audio path.
Have the auctioneer speak at normal working level and repeat a realistic lot number and amount. Listen for intelligibility, dropouts, severe feedback, clipping and excessive delay. A meter on the mixer or streaming application is supporting evidence, not the final test.
Once the backup path passes, keep the signal chain stable. Return the failed equipment to service only after it has been diagnosed and tested away from active bidding.

The note should let the team reproduce what changed after the sale without relying on memory.
Sale, ring, active lot, current ask, last accepted bid and approximate time audio became unreliable.
Record whether the failure affected the auctioneer monitor, room, one zone or the remote stream.
Note the microphone or receiver, mixer input, output, speaker zone or stream source that was bypassed.
Record who verified each required end point and when the auctioneer resumed.

A spare microphone in a case is not a recovery plan until its complete path has been tested.
A simple wired microphone on a prepared channel can bypass battery, RF and receiver problems quickly.
Confirm the backup channel reaches the required loudspeakers and the simulcast send at usable levels.
Start with fresh or fully charged wireless batteries and know which speakers, receivers and interfaces depend on which circuits.
Choose the difficult room listening point and the independent bidder-side device before the sale begins.
These are operational defaults; the auction’s own equipment procedures, sale terms and platform requirements remain the controlling local documents.
Only if every active bidder who relies on the auctioneer audio can still hear the sale clearly through a proven alternate path and the clerk can maintain an unambiguous lot state. If audibility is uncertain in the room or on the simulcast feed, hold the active lot before accepting another bid.
Switch to a known-good backup microphone or input before changing several parts of the system. If the backup works through the same mixer, loudspeakers and stream feed, the fault is likely in the original microphone, battery, cable, receiver or input path.
Not as a first response. A broad restart can remove working audio paths and make the failure harder to isolate. Protect the lot, move to a tested backup path and change one layer at a time unless the system has a documented recovery procedure that requires a restart.
Treat that as a simulcast-audio path failure rather than a room PA failure. Keep the room path stable, then check the stream input, audio interface or USB device, browser permissions, selected source and platform publisher path before resuming remote bidding.
The microphone and stream source may still be healthy while the room output path has failed. Check the mixer output, amplifier or powered-speaker path, cabling, mute state and power. Do not disturb the working stream path while isolating the room PA fault.
Use it only if it is already paired or tuned, powered, gain-checked and routed to the correct room and stream destinations. An untested spare can introduce a second failure such as wrong frequency, low battery, feedback or missing simulcast routing.
Have one person listen at a difficult room position and another verify the bidder-side stream on an independent device. The auctioneer should speak at normal working level, and both listeners should confirm intelligible speech without severe feedback, clipping, dropout or excessive delay.
Test the primary and backup microphones, fresh or fully charged batteries, receiver and cable paths, mixer channels, room loudspeakers, simulcast audio source, independent remote listening path and the exact staff phrase used to hold and resume the active lot.
Hold the active lot when audibility is uncertain, substitute a proven source, isolate the failed layer and verify speech at the actual bidder end points. A stable backup path is a better live-auction recovery than a rushed repair of the preferred equipment.
